Privacy Policy

FrontDesk.Band ("we", "us") provides 24/7 voice agents that band programs publish for parents and students. The school or booster organization that creates an account is the operator of the agent and is responsible for the documents and contact details they upload.

• Account info. Name, email, organization, and login credentials for staff who manage agents.
• Agent knowledge. Handbooks, schedules, fee sheets, and other documents uploaded by the operator.
• Caller interactions. Audio of phone or web calls to a published agent, generated transcripts, and any fields the caller chooses to share (e.g. name, email, student name).
• Usage data. Minutes used, call timestamps, feature usage, and basic device/browser metadata for security and billing.

• To answer caller questions using only the operator's documents and details.
• To write structured notes and conversation logs to the operator's connected Google Sheet.
• To send follow-up emails the operator has configured (e.g. donation forms, sign-up packets).
• To bill the operator for voice minutes and provide support.
• To detect abuse, troubleshoot errors, and improve service quality.

We share data with vetted service providers needed to run the platform — including hosting, database, voice/AI processing, and email delivery. We do not sell personal information. We may disclose information if required by law or to protect the safety of users.

Account and agent knowledge are kept while the account is active. Call recordings and transcripts are retained according to the operator's settings and may be deleted on request. Billing records are kept as required by law.

Callers can ask the agent not to record details, and operators can delete agent knowledge, recordings, and transcripts from their dashboard. To request access or deletion of personal information, contact the operator of the agent you called, or email us at the address below and we will route the request.

FrontDesk.Band is designed for use by school band programs. Information about students is provided by parents/guardians or program staff. We do not knowingly market the service to children under 13.

We use industry-standard encryption in transit, role-based access controls, and audit logging. No system is perfectly secure; report any suspected vulnerability to the contact below.
